In a house, heating and cooling is a comfort question. In a building it is an operating one: a rooftop unit down in August is a shop nobody wants to stand in, a make-up air unit down is a kitchen that cannot pass its own extract test, and a walk-in freezer down is stock going in a skip.
Which is why commercial upkeep is a schedule rather than a series of decisions. The equipment is going to need attention on some interval whether or not it is planned. The only real variable is whether you pick the date.
There is no single right frequency for a building, because a building is rarely one kind of equipment. What sets the interval is how hard a machine runs and what it costs when it stops.
Equipment running most of the day, or holding a temperature something perishable depends on, earns more visits than equipment that works one season a year. That is the whole logic, and it is worth applying machine by machine rather than buying one frequency for the site.
In practice that resolves into three schedules:
We would rather set that around your operation than sell you a default package, which usually means different intervals for different equipment on the same site.
The word "maintenance" hides a lot of variety. These machines have almost nothing in common mechanically, and the visit looks different for each.
The workhorses, and the ones most exposed — they sit in the weather and nobody sees them. Filters, belts and drives, both coils, the condensate path, the economizer and its dampers, and the electrical side. The curb and the roof penetrations are worth attention too: a rooftop unit that is fine can still be the reason a ceiling tile is stained.
Annual maintenance, tuning and combustion analysis, which is the part that separates a boiler service from a look at a boiler. Combustion set with instruments rather than by eye is where the efficiency actually lives, and it is also the safety work.
Central cooling plant is the equipment whose failure takes the most with it, and the one where deferred attention compounds most quietly. Annual maintenance on the refrigerant circuit, the compressor, the tubes and the controls, before the season it has to carry.
The most commonly forgotten machine in any building with serious exhaust. Pull air out of a building without putting it back and the building goes negative — doors that fight you, extract hoods that stop pulling properly, combustion appliances that do not draft the way they should. The unit that prevents all of that is usually on the roof being ignored.
Here the maintenance schedule and the quality of the finish are the same subject. Airflow and balance, filter loading and change intervals, and the burner and controls on a heated booth. Filters past their loading do not just cost you production, they cost you the job in the booth.
The equipment where the cost of a failure is measured in product rather than in comfort. Condensing unit and evaporator, defrost operation, door seals and closers, and the drain line — which in a freezer is the small component most likely to cause the largest mess.
Skipping a visit does not save the cost of the visit. It moves it, and it usually moves it into a worse month at a worse hour, with a part that has to come from somewhere and an operation standing still while it does.
The second cost is subtler and larger: equipment run outside its design conditions does not fail immediately, it just ages faster. A coil nobody cleans, a belt nobody tensions and a filter nobody changes all end in the same place, which is a replacement several years before the one you had budgeted for.
Manufacturers know this, which is why documented maintenance is a condition of most commercial equipment warranties. Skipping it can quietly cost you the coverage as well as the machine.
The useful output of all this is not a stack of invoices but a calendar. Once each machine has an interval, the visits distribute across the year in a way that is predictable, and predictable is what a maintenance line in a budget needs to be.
